On the Mark
 Issue: # 7 3rd Qtr/2010

From the President

As most of you know since April 2006, Censis Technologies has enjoyed an exclusive sales and marketing affiliation with Steris, one of the leaders in sterile processing equipment.  Effective September 30, 2010, Censis and Steris will operate independently in the marketplace.  Please know that Censis continues to enjoy a friendly relationship with Steris and our mutual decision to discontinue in an exclusive relationship is in no way negative towards either party.  Our desire to deal directly with our customers is a decision that we considered carefully, and in the end determined that we can provide increased services, better customer response, more effective training, and more efficient delivery by streamlining our customer relationships.

We believe this approach is consistent with where the healthcare industry is moving.  In addition, with almost a decade in the marketplace and over 200 prestigious hospitals successfully using our product, we think you will agree that Censis is a partner that will continue to assist in your quest to take your institution to a new level of performance and innovation.

In the coming months we will have exciting news regarding new relationships we are forging that we believe will prove beneficial to our customers.  Those relationships will include interfaces to multiple vendors' sterile processing equipment, surgical instrumentation suppliers, surgical instrument and endoscope repair companies and other service providers.  I invite you to visit our website,
http://www.censis.net/clients-a-partners/partners, to see a list of the outstanding companies we currently work with.  Please visit the site often as we are in discussions with other potential partners whom we believe will be able to assist in your efforts to utilize Censitrac to its fullest capabilities.

Please note that due to the end of our contractual relationship with Steris, all renewals for your Censitrac contract will be directly with Censis Technologies, rather than with Steris.

I thank you for your confidence and encourage you to contact me anytime you have suggestions on how Censis may best serve you.

Business Development

During the third quarter of 2010, Censis Technologies, Inc. announced the release of four new entry level products. These new products can be purchased as standalone systems or as a bundled package.  They are easy to implement and are reasonably priced to fit your hospital budget.

ScopeTrac - capture reprocessing cycle data for all of your flexible endoscopes and provide inventory management and tracking functionality.

SterilTrac - record and manage comprehensive electronic sterilization data

MobileTrac - track and manage all aspects of mobile equipment inventory

CensiCount - input of count sheets prior to implementation of TrayTrac or InstrumenTrac.  This is a completely web based application that can be accessed from anywhere you have Internet access.  New customers can utilize CensiCount to easily input and manage their count sheet data as the first step in the implementation process.

CensitracĀ® remains the most scalable, flexible and user friendly tracking solution in the marketplace for the OR and CS departments.

Technology

The Product Development team at Censis will soon be piloting our first production interface with an RFID real time location system.  Stay tuned for more details in future newsletters.

Although the potential of new technologies such as RFID is exciting, I urge all of you to be vigilant in safeguarding the system you already have in place.  Unfortunately, one of the most important administrative tasks in Censitrac is frequently not kept up to date.  That task is to insure that user access in Censitrac is accurately maintained.  User access needs to be updated for anyone no longer working at your site, and for anyone that has changed roles and should now have more limited access.

All too frequently we hear in the news about data that has been compromised within an organization's electronic records.  Remember that the accuracy and reliability of your Censitrac data is controlled by the users that have been authorized to update it.  Please be vigilant about suspending user ID's when people quit, when they leave the department, when trainers complete their assignments, etc.  And when a user is placed into a different role, their access level in Censitrac should be updated accordingly.

Censitrac provides a report (Employee --- General Information) that makes it easy to review the list of active user ID's and their access level.  Make it a standard part of your process to protect access to your data.  Just call our Help Desk at 1-888-877-3010 Opt.1, for answers to any questions you might have related to this topic.

Fairview Unites Instrument Reprocessing with Surgical Case Tracking

Fairview has invested in an instrument reprocessing system that is very powerful and robust.  Why do we believe this? The reason is, we've combined container assembly functionality with real time surgical case requirements, eliminating the need for 2 separate applications that just focused on the set assembly and sterilization tracking of the reprocessing cycle, plus a 3rd that focused on surgical case fulfillment.

Censitrac not only tracks the items placed into the tray, but also into the sterilizer.  Censitrac provides reporting that is used to manage sterility assurance requirements to meet regulatory standards.
Now all of these great tools would be enough to justify purchasing Censitrac, but it also tracks the instrument tray to the surgical case where the tray is required.  The schedule in Censitrac is a real-time interface, allowing CPC to manage over 500 surgical tray requirements for at least 190 surgical cases, serving 8 hospital surgery locations up to 50 miles away from the Central Processing Center daily.  Censitrac's Schedules feature shows when the case is scheduled to start, where the surgery will be located, the instruments required, and the case carts used to transport the containers to the hospital site.  The real-time piece shows how many hours left to fill the case requirements, and after the case is filled it shows how much lead time was given to the hospital site to prepare for the case.

Loaner - Fairview

Fairview Surgical Instrument Technician uses the Case Cart Build scanning process
to verify container sterility check points are in place keeping patients safe.

Censitrac worked with Fairview to create new case cart logic to aid us in facilitating our special handling of fulfilling surgical requirements. Standardized sets are shipped to the surgical site locations within these carts, allowing CPC to fill multiple surgical cases with one cart.  Centralized processing helps Fairview keep costs low by standardizing as many containers as possible. Inventory control features within Censitrac also incorporates individual item pricing which helps manage the cost of assembling containers along with the labor saving reporting available from the container assembly functionality.

The Censitrac tracking system allows us to see at a glance what's left to pick, what's been picked and what containers we are short on.  The Summary report that was created to aid in CPC asset building shows how many containers need to be built, and has the capability of drilling down to what surgical case the tray will be used on.  This assures we have the instruments our patients need, on time, complete and sterile 100% of the time.

Reporting tools show surgical case fill rates at CPC and the capability of adding hospital site fill rates for not only CPC Standardized Sets but the Hospital Site Specific trays that are assembled and reprocessed at the surgical location.  The Censitrac dashboard shows at a click of button, how many containers have been washed, assembled, and sterilized.

Loaner 3

Fairview Surgical Instrument Technician uses the Censitrac loaner module
to check in loaner trays that will be used on specific surgical cases.

Fairview is utilizing Censitrac's Loaner module to streamline the Vendor instrument drop off process and track trays to the surgical case.  CPC now checks loaner trays in and prints labels (identifying the surgical case) that will follow the vendor trays through assembly, sterilization and surgical case fulfillment cycle.  After the surgery is completed, the loaner trays may be checked out and a complete rotation has been tracked.

Censitrac has brought Fairview features that improve patient safety, create a means of identifying areas to leverage greater efficiencies within the surgical management structure, and enhanced inventory control.
